This guide covers two related areas: configuring the SMTP server used to send all outgoing email, and managing which automated system emails are enabled and which template each uses.
SMTP Configuration
Navigate to Settings > Server to configure the SMTP server. The SMTP section controls all outgoing email from the platform (system emails, bulk campaigns, and password resets).
Required permission: settings:view to read, settings:edit to update.
Enabling Email
Toggle Enable SMTP on to enable SMTP email delivery. When disabled, the system will not send any emails regardless of other configuration.
Quick Start with a Preset
Choose an option under Provider Preset to pre-fill the host, port, encryption, and timeout. This is a one-time action:
| Preset | Notes |
|---|---|
| Gmail | Port 587, TLS |
| Outlook / Office 365 | Port 587, STARTTLS |
| Yahoo Mail | Port 465, SSL |
| SendGrid | Port 587, TLS |
| Mailgun | Port 587, TLS |
| AWS SES | Port 587, TLS |
After applying a preset, fill in your credentials under Authentication.
Server Settings
| Field | Description |
|---|---|
| Host | SMTP server hostname (e.g., smtp.gmail.com) |
| Port | SMTP port number (e.g., 587, 465, 25) |
| Encryption | Connection security: none, ssl, tls, or starttls |
| Timeout (ms) | Connection timeout in milliseconds (1,000–60,000) |
Authentication
| Field | Description |
|---|---|
| Enable Authentication | Toggle authentication on/off |
| Username | SMTP username (usually your email address) |
| Password | SMTP password or app password. Stored encrypted; displayed as masked in the UI |
Sender Information
| Field | Description |
|---|---|
| From Address | The From: email address recipients see |
| From Name | The display name shown next to the from address |
| Reply-To Address | Optional address for replies; defaults to From Address if blank |
| Reply-To Name | Display name for the reply-to address |
These values correspond to the email addresses configured in Settings > Server > Email Addresses (adminEmail, supportEmail, noreplyEmail, securityEmail) which are used as defaults in different contexts.
Rate Limiting
Rate limiting prevents the platform from overwhelming the SMTP server during bulk sending:
| Field | Description |
|---|---|
| Enable Rate Limiting | Toggle rate limiting on/off |
| Max Per Minute | Maximum emails sent in a rolling one-minute window |
| Max Per Hour | Maximum emails sent in a rolling one-hour window |
| Max Per Day | Maximum emails sent in a rolling 24-hour window |
Testing the Connection
Click Test Connection to test the configured SMTP server. The result shows whether the connection and authentication succeeded, and displays any error message on failure.
System Email Events
Navigate to Email > System Emails to configure which automated emails are sent and which template each event uses.
Required permission: settings:edit to open the page and update it. Send Test also requires emails:send.
If SMTP is not configured, the page warns that system emails will not be delivered.
What Are System Emails
System emails are automated messages triggered by platform events (user registration, deposits, withdrawals, etc.). Each event type can be individually enabled or disabled, and mapped to a specific email template.
Event Types
| Event Type | When it is sent |
|---|---|
email_verification | User registers — sent to verify their email address |
password_reset | User requests a password reset |
welcome | User successfully verifies their account |
deposit_confirmation | A deposit is processed |
withdrawal_confirmation | A withdrawal is requested |
withdrawal_approved | A withdrawal is approved by an admin |
withdrawal_rejected | A withdrawal is rejected by an admin |
tournament_registration | A player registers for a tournament |
tournament_start | A registered tournament is about to start |
tournament_prize | A player wins a tournament prize |
bonus_credited | A bonus is credited to a player account |
account_blocked | An admin blocks a player account |
account_unblocked | An admin unblocks a player account |
Configuring an Event
For each event type you can:
- Toggle it on or off — disabled events are silently skipped; no email is sent.
- Set the template — choose the email template to use for this event (see Content Management — Email Templates).
Sending a Test Email
Click Send Test on any event row to send a test message using the current template. The test email is sent to the logged-in admin’s email address.
Bulk Email Campaigns
Navigate to Email > Email Campaigns to create and manage bulk email campaigns.
Required permission: emails:send.
Campaign Statuses
| Status | Meaning |
|---|---|
DRAFT | Campaign is being configured; not yet sent |
PROCESSING | Campaign is actively sending |
COMPLETED | All emails sent |
FAILED | Campaign encountered an error during sending |
CANCELLED | Campaign was manually cancelled |
Creating a Campaign
- Click New Campaign.
- Enter a Campaign Name and optional Description.
- Select an Email Template and optional Subject Override. Leave the override blank to use the template subject.
- Choose the Target Audience:
- All Users — every registered user
- User Group — members of a specific user group
- User List — specific user IDs
- Custom Filter — users matching criteria (verified status, registration date, activity level)
- Check the estimated recipients.
- Under Send Options, choose Send Now or Schedule with a future date and time.
- Click Create Email Campaign.
Managing a Campaign
| Action | Effect |
|---|---|
| Start | Begin sending a draft campaign |
| Cancel campaign | Stop a running campaign |
The list shows each campaign’s delivery stats (sent, failed, pending, and total) and refreshes automatically.
Email Templates
Navigate to Email > Email Templates to manage the HTML and plain-text templates referenced by system emails and campaigns. Templates use {{variable_name}} syntax for dynamic values.
